Free receipt scanner apps: what free actually costs
Free in this category almost always means free at something. Metered scans, capped storage, export behind a subscription, adverts, or your data as the product. None of those is dishonest by itself, and one of them is how our own app works. What matters is knowing which one applies before you put a year of receipts somewhere, because the limit you hit is usually the one you did not check.
The five ways free gets paid for
Metered extraction — a number of AI scans, then payment. Storage or record caps. Export behind a paid tier, so the records go in free and do not come out. Advertising. And data monetisation, where the receipts themselves are the product. Every free receipt app uses at least one of these.
The order matters. Metered scans and record caps are visible: you hit them and you know. Export paywalls are the ones that catch people, because you discover them at the moment you need a year of records out, which is usually the least convenient day of the year. Ask which applies before you migrate, not after.

So if you want a genuinely free scanner in the sense of unlimited free AI scanning, ours is not it, and pretending otherwise here would waste your time and ours.
Where the free tier is honestly useful: you can type or correct records yourself indefinitely, keep them searchable, and pay nothing. Where it is not: if handing a file to an accountant is the point, export is the feature you need and it is behind the subscription. That is the whole trade, stated up front rather than discovered in April.
Receipt apps that pay you are a different product
A large part of the free-receipt-app search space is cashback apps — you photograph receipts, they pay you a small amount, and the receipt data is sold on as retail intelligence. That is a legitimate business and it is not record keeping. If you want tax records, these are not the category.
It is worth naming because the two intents share almost every keyword. A rewards app is optimised for coverage of retail purchases and has no interest in your business expenses, your categories or your export. If you want both, they are two apps, and the rewards one should not be where your records live.
Free is the right answer more often than vendors admit
Below roughly a handful of receipts a month, no app is needed at all. A folder of images named by date, merchant and amount, plus a spreadsheet, is a complete system that costs nothing, exports by definition and never expires. There is an ungated template on this site.
The reason to say this on a page written by an app studio is that the alternative — installing something you do not need and abandoning it — is the outcome that leaves you with the worst records of all: a partial pile in an app you no longer open. A spreadsheet you keep beats a tool you quit.
What to check before you migrate anything
Four questions: how many receipts can I store, how many AI extractions do I get, can I export without paying, and can I get the images out as well as the fields. Answer all four before you put a year in. Any app that makes them hard to answer has told you something.
The images matter as much as the figures. Publication 583 treats the underlying documents — invoices, credit card sales slips, statements — as the support for an expense, and a spreadsheet of totals without them is half a record. An export that returns fields but leaves the pictures behind is not an export you can rely on.
No pricing table here, deliberately
Pricing in this category changes without notice, and free tiers get quietly reduced. A comparison table published today would be wrong within months and would be repeated as fact by anyone who found it. This page gives you the checklist instead, so you can price any app against it yourself, on the day.
This is the same rule the rest of this site follows: write from a source that can be checked, or do not write it. Nobody's price page is a stable source, so the honest version of a best-free-scanner list is a method rather than a ranking.
Where the free version genuinely stops
You will outgrow free when you need a year of records handed to somebody else, when the number of receipts makes manual entry the reason you stop, or when losing them would cost real money. At that point you are not buying features, you are buying export and durability.
Until one of those three is true, staying free is a reasonable decision rather than a compromise. The thing to avoid is the middle state — records accumulating in a free tool whose export you have never tested. Test the export early, while there is nothing to lose.
